Final details for Boston AGO Exhibitors

Load in and set up:

Loading dock access: will be on a first-come, first served basis.  If GES is handling your materials via drayage, they will be ready and waiting for you at your booth. For those of you bringing in your own materials, direct delivery by exhibitors to the show site will be available from roughly 11:00 AM to 4:00 PM on Monday June 23.  The Marriott has 3 loading docks, one of which has an adjustable deck.   The hotel event planning staff has respectfully requested that exhibitors plan their deliveries after 11am, and that you move your vehicles out as quickly as possible as a courtesy to fellow exhibitors and event staff.

 

Set up: GES will be setting the hall up on Monday, June 23 from 6:00am until noon.  Exhibitors will not have access to the hall before 12:00pm noon that day, and will have until 5pm to load in and set up.  Exhibits will open promptly at 5pm.

Official Exhibit Hours:

  • Monday, June 23:      5pm-7pm OFFICIAL OPEN, 10pm-MIDNIGHT
  • Tuesday, June 24:      2:30pm-6:30pm, 10:30pm-MIDNIGHT
  • Wednesday, June 25:      9:30am-11:00am, 12:00pm-1:00pm, 9:45pm-MIDNIGHT
  • Thursday, June 26:      9:30am-1:00pm, 9:45pm—MIDNIGHT (OFFICIAL CLOSE)

ALL EVENING EXHIBIT SESSIONS WILL HAVE CASH BARS.

 

Details and Services

Registration: All exhibitors are entitled to one complimentary registration per booth ordered.  Even if you do not plan to participate in any of the convention programming, exhibitors must to register in order to be issued an ID badge to be granted access the the exhibit hall and other areas.  To register, go to the following link (http://www.regonline.com/agoboston2014). Additional booth staff:  Those of you who require access for additional staff (this means access to the exhibit hall only) can register at the following link: https://www.regonline.com/exhibitorstaff

Decorating services:  If you have not done so already, please be in touch with our decorating  company (GES)  with any requests relating to advance shipment,  drayage, signage or furnishings for your booth.  The most effective      way to be in touch with them is through their website, and it is important  to have your booth number handy when you place your order, as that is how GES will identify you.  The link to their client side website is: https://ordering.ges.com/081600139

Electrical Service:       If you need electrical service in your booth, you must download and print  out the order form and submit it with payment to the hotel per the  instructions on the form.  The form is available at the following link: https://ordering.ges.com/081600139/198182

 

Dismantle and load out 

Dismantle and load out will be on Friday June 27 between 8am and 4:30pm.  Carriers must be checked in by 1:30pm, and all exhibitor materials must be removed by 4:30pm.  Exhibitor materials are understood to be in your own custody and care at all times. By placing your order with us, you agree to the terms in our regulations document, which indemnifies AGO, GES and the Marriott Hotel Copley Square against any loss of exhibitor’s property.  If, for any reason, you cannot secure your materials before the 4:30pm deadline, please contact me or another member of my committee and we will do whatever we can to help you.My thanks again.  I hope this years convention will be an enriching and rewarding experience for you all.
